Loading area for the exhibition

During setup and dismantling you can unload or reload the goods on the loading patios nearby Hall 10 (P4). This only applies to vehicles higher than 1.90 meters and if the capacity allows it. Vehicles lower than 1.90 meters can park in the parking garage (P1, P2, P3) and unload or reload from that location.

Pedestrians may use Entrance E to access the venue during setup and dismantling on Sunday.

Access regulations for setup and dismantling

Amsterdam RAI is only accessible with a valid access pass. For setup and dismantling you need to register all your stand-builders and suppliers either online at http://www.raisecurity.com/exhibition_organisers/en/88/bioeurope/ or on site at the gatehouse while entering the loading area.

The registration desks open on the first day of setup and are located at the patio P4 and at Entrance E.

While registering online each registered person receives a digital voucher. This has to be printed and taken to Amsterdam RAI. Upon presentation of the voucher, you will get a personal construction and dismantling badge which provides access to the venue during the build-up and dismantling phase.

Please make sure to bring your ID for the registration on site.

Parking during the conference

Vehicles lower than 1.90 meters can park in the designated parking garages. Parking tickets can be purchased on the RAI Exhibitor Web Shop (see instructions below). During the event vehicles higher than 1.90 meters will be directed to a parking area. Drivers who want to make use of this service can report to one of the RAI gatehouses. Fees are to be paid directly at the gatehouse by cash or by credit card.

Complimentary equipment

  • Back and partition walls (white hard panels) as necessary; except for island booths.
  • Grey carpet tiles → You may choose your preferred color online at the RAI Exhibitor Web Shop
  • Basic power supply, one 2kW, 220V outlet with two plugs
  • Wireless LAN will be available in the exhibition area at no extra charge → please note: if you plan to run online applications it is recommended to order a wired LAN internet connection.

Non-complimentary equipment

Equipment or services not included in the exhibitor package need to be ordered online at the RAI Exhibitor Web Shop. See information below.

Deadline for all online orders is March 13, 2012. After this deadline the Web Shop will be closed. For any orders after March 13, please contact Dennis Disseldorp.
Deadline for electrical orders is February 20, 2012. After this deadline there will be a surcharge of 25%.

During setup and during the event there will be an on site service desk for last minute orders located on level one, in the Forum Lounge.

Approval of customized booths

Customized booth constructions need to be approved. Please submit a draft of your booth construction including all measurements to Petra Fischer at pfischer@ebdgroup.com until February 22, 2012.

Insurance

The organizer does not provide insurance for any booth components or additional pieces of equipment brought into the Conference, rented from exhibitor services or for personal possessions of any Exhibitor against loss, damage or theft. Exhibitors are recommended to arrange their own insurance coverage. If you do not have your own insurance you may also order an insurance package at the Exhibitor Web Shop at https://portal.rai.nl/sop/sop_p1_steps_booth.aspx?eventid=16211&cc=ESBIOSPREN12&oc=50

Warehouse shipment

Schenker International B.V. is the official Logistical Service Provider and will handle your warehouse shipments. Please visit the RAI Exhibitor Web Shop at https://portal.rai.nl/sop/sop_p1_steps_booth.aspx?eventid=16211&cc=ESBIOSPREN12&oc=50 in the section Other Services under Logistics to download Handling tariffs, Shipping instructions as well as Terms and Conditions.

All advance booth shipments except those brought by yourself for setup on Saturday or Sunday, March 17 and 18 need to be sent to the warehouse.

Please advise the Schenker team about your shipment in advance.

Arrival deadlines:

Your boxes will be accepted from March 5 until March 15, 2012 between 9:00 and 16:00. Depending on type of freight, the arrival deadlines are as follows:

Sea freight (LCL, FCL):March 5, 2012 at Port of Rotterdam
Air freight:March 9, 2012 for customs goods
 March 15, 2012 for EU-goods at Amsterdam Schiphol airport.

After these deadlines, Schenker cannot guarantee a timely delivery.

Customs

Please make sure your freight forwarder or courier will take care of customs clearance or contact Schenker if you need help with this.
