1. About this Privacy Policy and EBD

a) In this Privacy Policy, “EBD” refers interchangeably and independently to European Business Development Group, Inc. and EBD GmbH. These companies organize events or provide products or services in the USA and Europe respectively (and a few other territories around the world). In respect of User Information (defined below), these companies are joint data controllers. EBD is part of the “Informa Group” (the group of companies of which Informa plc is the ultimate holding company).

b) This Privacy Policy explains the ways in which EBD collects, stores, uses and shares information concerning you and your company (“User Information”). Our aim is to reassure you that we handle User Information professionally and with due regard to your desire to maintain privacy and, of course, in line with prevailing legislation in the territories in which EBD products and services are promoted or used. By using EBD websites and/or by accepting this privacy Policy when registering for an EBD product or service, you expressly consent to the collection, storage, use and sharing of User Information by EBD as described in this Privacy Policy.

c) As this Privacy Policy covers a number of different products, services and websites of EBD, some sections may not be relevant to you.

2. Information collection

User Information is submitted to EBD when you (a “Registered User”) register to purchase or use products or services available from EBD. Such User Information may include your name, address, email address, phone number and job function, as well as information about your company. It may also include payment information, such as credit or debit card details or bank account information.

EBD may collect information about your usage of EBD products, services or websites. Please see the below section on ‘Usage Information’ for further details.

EBD may also use ‘cookies’ to collect information about the device(s) you use to access EBD websites and how you interact with those websites. Please see the below section on ‘cookies’ for further details.

3. Use and sharing of information

a) EBD does not sell, share, or rent User Information to third parties other than as disclosed in this Privacy Policy. Any use of User Information not disclosed in this Privacy Policy will only be made with your permission.

b) By registering to use an EBD product or service, you agree that EBD may send you promotional communications (such as information about future events or other EBD products or services), unless you choose to opt out of receiving such communications, either at the time of registration or subsequently. Such communications will generally be sent via email, but they may be sent via other methods from time to time. See section 5 below for more information on opting out.

c) By registering to use or receive an EBD product or service, you agree that EBD may contact you by post, telephone, email or fax to keep you updated on arrangements being made for the product or service for which you have registered.

d) You agree that EBD may use User Information in a manner reasonably required to operate its services and products. For example, if you become a Registered User by registering for an event, submitting User Information to partneringONE®, or by becoming a member of partnering360® you agree that your User Information can be reproduced, replicated, published, displayed, disseminated, and downloaded and printed for personal use by all other Registered Users of that event, service or product. You also agree that EBD may use User Information for internal recording keeping, analysis, research, product development and for answering your queries.

e) If you have posted information about licensing opportunities in your company’s profile and selected the option to make such information available to other partneringONE users, you agree that other users (such as pharmaceutical companies) shall be entitled to view and export such information in order to facilitate their in-house evaluation and management of licensing opportunities. EBD will not disclose your email address or direct telephone number in connection with any product (other than as disclosed in this Privacy Policy) unless you include those contact details in such licensing opportunity information and select this option yourself.

f) You agree that EBD can display certain limited User Information on publicly accessible pages of our websites, which are visible to website visitors who are not registered users. EBD may choose to display information such as your name, job position/function, company name, country, a company profile copied or abstracted from company data you have provided (including company address, categories and description), and an indication that you attended and that your company was represented at certain specified events. You also agree that any messages you post as part of group discussions will be publicly visible.

g) If you participate in events or services run by a third party using EBD platforms (for example, at which EBD is providing only the partnering service) you agree that EBD can disclose your User Information to that third party. You should review such third party’s terms and conditions and privacy policy and satisfy yourself that the third party handles your User Information in an appropriate way, as their agreement with you is independent of EBD’s.

h) Certain EBD events and media are produced in collaboration with or are sponsored by third parties, as stated on the relevant websites. Where you have registered to attend such an event or access media, you agree that EBD may share with such third party your first and last name, company name and title, email address, mailing address, and telephone number that you submitted when registering for the particular event or media. If you do not wish this information to be disclosed to the third party, please inform EBD using any of the methods listed below.

i) You agree that EBD may share User Information with: (i) companies performing services on EBD’s behalf (such as marketing, IT or delivery services) who will only use the User Information to provide that service; and (ii) other companies in the Informa Group or a purchaser or potential purchaser of all or part of the EBD business.

4. Usage information
In your use of EBD products, you will generate “Usage Information”. This includes your messages, participants of meetings, and information on how you use the products.

a) Information on how you use EBD products will be stored, but will only ever be disclosed by EBD in aggregate form and no specific business relationships will be identifiable.

b) Messages you send and receive on partneringONE, and the identity of meeting participants, are the property of your company and are potentially visible to all of your colleagues and the companies you have communicated with.

c) Messages you send and receive on partnering360 are personal to you and are not shared with your colleagues.

d) If you have registered for an event run by a third party (for example, at which EBD is providing only the partnering service) you agree that EBD can disclose your Usage Information to that third party, if they request it. You should review such third party’s terms and conditions and privacy policy and satisfy yourself that the third party handles your Usage Information in an appropriate way, as their agreement with you is independent of EBD’s.

5. Opting out or correcting information

If you no longer wish to receive our promotional communications, you may opt-out of receiving them by following the instructions included in each communication, or by contacting EBD using any of the methods listed below.

All or some of your User Information will be retained in order to facilitate your future use of EBD’s services or products. If your User Information is incorrect or changes, you may be able to correct or update parts of it using edit profile functions. Alternatively, or if you no longer wish for EBD to retain User Information, please contact EBD by any of the methods listed below.

You will be notified if EBD intends to use your User Information in any way not covered by this Privacy Policy, so that you can make an informed choice about opting out.

6. What information do we hold on you?

To request details of User Information EBD holds on you, please contact EBD by any of the methods listed below. If permitted by applicable law, a small fee may be payable in relation to such a request.

7. Photographs and video

EBD or EBD’s agents take photographs and videos (“Images”) of typical scenes of EBD events and event-related functions, some of which may feature identifiable attendees going about their business. These Images are frequently made available for view on EBD websites, or may be used in marketing material. EBD will never use without your express permission Images of you that clearly suggest a specific business interaction, or are frivolous in nature.

8. Security and transfer of information

EBD takes your data privacy rights very seriously and takes reasonable precautions to protect User Information. Only certain individuals within the company are given degrees of access to Registered Users’ Information according to job function and necessity.

Due to EBD’s international operations, your User Information may be transferred to countries with data protection laws that are less stringent than those which apply in your country of residence. However, EBD takes appropriate steps to transfer and store the User Information within a secure environment in those countries. In particular, you agree that EBD may transfer User Information to the United States.

EBD follows generally accepted industry standards to protect User Information, both during transmission and once it is received. No method of transmission over the internet, or method of electronic storage, is 100% secure, however. Therefore, while EBD strives to use commercially acceptable means to protect your User Information, its absolute security cannot be guaranteed.

9. Use of cookies

A ‘cookie’ is a small file that is stored on a computer for record-keeping purposes. Like many internet sites, EBD asks you to accept cookies that analyse and enhance the way your computer interacts with our websites. EBD uses the information collected through cookies to measure the success and performance of its websites, products and services and improve or customise them accordingly. If your browser is set to reject cookies, your ability to use the websites and thereby access EBD products and services may be limited. 10. Legal disclaimer

EBD may disclose your User Information when required by law or in the good faith belief that such action is necessary in order to conform to the edicts of the law or to comply with a legal process. EBD may also disclose your information if reasonably necessary to protect EBD’s rights, property, staff or business operations or to obtain legal advice.

11. Notification of changes

Please check this Privacy Policy periodically to inform yourself of any changes. Although we reserve the right to modify or supplement this Privacy Policy by amending this page, EBD will provide notice to you on EBD websites of any major changes for at least 30 days following the change.
